PlaceLink Glossary
This glossary makes PlaceLink easier to use by clearly defining the terms used in the solution. Please refer to this glossary if you are uncertain of the meaning of any terms found on the website or in the applications.

Activated
Premium and Pro plan facilities can activate Pro partners. Facilities can activate partners. Partners cannot activate facilities. Partners on the Network plan cannot be activated and facilities on the Network plan cannot activate Partners.
Once activated, Pro Partners can see Premium Brochure data for Premium Care Home users, and Complete Brochure data for Pro Community and Pro Care Home users. Premium and Complete brochures have more comprehensive facility data including real-time room availability and active facility promotions.

Activities
These are activities for residents in facilities. They can include things like exercise, discussions, lectures, art & crafts, movies, book clubs, outings, etc.
Activities of Daily Living, (ADLs)
Activities of daily living, or physical ADLs, are those skills required to manage one's basic physical needs, including bathing, personal hygiene, grooming, dressing, toileting, transferring or ambulating, and eating.
Amenities
Amenities are physical characteristics like when a facility was constructed, when it was renovated, swimming pools, exercise rooms, therapy rooms, dining rooms, libraries, theaters, activity rooms, computer rooms, roll-in showers, gardens, patios, decks, etc.
Assisted Living
Assisted living refers to a specific combination of housing, personalized supportive services, and non-medical health-related care designed for seniors who require help with activities of daily living.
Attributes
Attributes of senior living facilities non-physical characteristics like cultural orientations, language skills, are they pet friendly, participating financial assistance programs, transportation services, etc.
Basic Care Home Brochures
Partner Network and Pro users see "Basic" care home brochures for care homes that are not registered PlaceLink users. Basic care home brochures contain data available from the state regulator's website including:

Basic Community Brochures
Partner Network and Pro users see "Basic" community brochures of communities that are not registered PlaceLink users. Basic community brochures contain data available from the state regulator's website including:

Budget
Indicates approximately how much a placement agent's client indicates they are expecting to pay per month.
Client-to-Facilities Matching
Client-to-Facilities Matching is typically done when a partner needs to quickly identify which facilities meet their client's needs as specified in their client assessment. Client's needs are entered into the client assessment. When the partner saves the client assessment it creates their client profile. From the client profile, the partner then selects Facility Match and the system will return all facilities that meet the requirements specified in the client profile (e.g. facility type, service type {IL, AL, or MC}, budget, location {city or cities}, room type, room availability, etc.).
There are many more data fields that can be used with Matching to further refine the results. Further refining the results improves the quality of the matches produced by the Client-to-Facilities matching procedure, and good matches are the key to successful placements. Partners can then select the facilities that they want to refer to from the results list, click on "Refer," and the client's profile information will automatically be sent to those facilities. These referrals will include any uploaded documents and will be date and time stamped to verify when the referrals were made.
Note that for facilities to receive online referrals they must be on the Premium or Pro plans. Facilities on the Network plan are not able to receive online referrals.
There are many more data fields that can be used with Matching to further refine the results. Client-to-Facilities Search
Client-to-Facilities Searches are performed by partners when they want to find a facility for one of their clients. This is typically done when the partner already knows which facility they want to refer their client to so they just need to find that facility in PlaceLink. Partners can just go into their client's profile, select Facility Search, type in the facility name, select the facility in the search results, click on "Refer" and the client's profile information will be automatically sent to that facility, along with a date and time stamp verifying when the referral was made.
Note that for facilities to receive online referrals they must be on the Premium or Pro plans. Facilities on the Network plan are not able to receive online referrals.

Community Fee
A one-time move in fee paid when a resident moves into a senior living facility. There can be other names that facilities use for this type of one-time move in fee.
Community Type
The type of senior community based on services offered. Does not include Care Homes. Community types are IL, AL, MC, IL & AL, AL & MC, and IL AL & MC.

Continuing Care Retirement Community
Continuing Care Retirement Communities (CCRCs) offer several levels of care, including independent living, Assisted Living, and skilled nursing care.

Facilities Search
Facilities Search is performed by partners when they want to find one or more facilities. This is typically done when partners are looking for facilities in a city (or cities) to partner with (sign referral agreements). PlaceLink is designed to make this search process as easy as possible in order to facilitate more referral partnerships between facilities and placement agencies and thereby generate more placement business in general.
Facility, or Senior Living Facility
A large senior living community or a small residential care home. In PlaceLink these are called "Facilities." You may also see them referred to as Senior Living Facilities or SL Facilities.
Facility Brochure
A facility brochure is like a hard-copy glossy brochure in electronic format (an eBrochure). Creating and updating these brochures is how facilities market themselves and their available rooms to partners. Because it's electronic, it's a real-time "live" brochure, meaning all changes become immediately available to all partners in PlaceLink.
Partners search and match facilities' brochures to find the best matching facilities for their clients. Since brochures are electronic, they provide real-time dynamic sharing of facility data with partners. Facilities can easily update their brochures any time with real-time information such as room availability, promotions, pricing, etc. This information is immediately shared with partners on PlaceLink based on each facility's data sharing settings.
The levels of facility brochures in order from least to most data are:

Facility Type
Used in client assessment form. The type of facility that a placement agent feels is appropriate for their client. Could be more than one type. Options are Care Home, IL, AL, MC, IL & AL, AL & MC, IL AL & MC, and CCRC.
Immediate Room Availability Required
Used in client assessment forms, and in determining related facilities search and match results. Selecting "Yes" means the placement agent wants Placelink to only find and display facilities that currently have the client's desired room type(s) available. Selecting "No" means the placement agent wants to see facilities that have the client's desired room type, whether or not those rooms are full or available.
Incentive Program - Automatic Pro Partner Activation
Premium and Pro community and care home accounts have a setting in the Information section of their brochure called "Automatically activate any Pro partner in PlaceLink that serves your location." Turning this setting "On" automatically activates any pro partner in PlaceLink that serves the facility's city, and it reduces the facility's subscription price by 10%

Network plan users in all 3 apps; Community, Care Home, and Partner, are incentivized to invite other companies they know to join PlaceLink by using the feature in the Marketing menu called "Invite To Join PlaceLink." This feature can be used to invite communities, care homes, and placement agencies that they like, but who are not yet on PlaceLink, to join the service.
Network users get a free upgrade to the PlaceLink Pro plan for:

Independent Living
Independent living is designed for seniors who require little or no assistance. Independent living communities, also known as retirement homes, do not provide supportive services or help with activities of daily living.
Instrumental Activities of Daily Living (IADLs)
Instrumental Activities of Daily Living (IADLs) include activities related to the ability to live independently at home or in a community. They include activities such as managing finances and medications, food preparation, housekeeping, doing laundry, etc.
Location
The primary use of Location in PlaceLink is determing which cities partners serve and which cities facilities are located in. With this data partners can easily find facilities in their service geography and add more facilities to the inventory they can offer their clients by forming referral agreements with them. Likewise, facilities can easily find partners that service their location and add more partners to their marketing channel so they can receive more leads, close more placements, and increase their occupancy rate.
Memory Care
Memory care is a form of residential long-term care that provides intensive, specialized ADL care, IADL care, and activities for people with advanced dementia.
Non-Medical Senior Living Services
Senior care services such as independent living (IL), assisted living (AL), or memory care (MC) that do not require a medical license. These services can be provided in large senior living communities or in small residential care homes.
Not Activated or Inactivated
Partner Network Plan users cannot be activated so they are always "not active." This means they will always see summary brochure data for facilities.
Partner Pro plan users are not active if facilities Premium or Pro users have not activated them. Inactive Partner Pro users have access to Enhanced Brochure data for facilities. These enhanced brochures are much more detailed than the summary brochures. However, enhanced facility brochures do not include room availability information or active promotions data.
Partners must be Pro users and be activated by facilities in order to also access room availability information and/or active promotions data in search results or in client-to-facilities matching results.

Placement agents and placement agencies are called Partners in PlaceLink. A partner is a person or company that finds potential residents and refers them to senior care facilities for a fee. Owners or employees of these companies are placement agents.

Partner Search
Partner searches are conducted by facilities. Partner searches are typically performed when the marketing people at facilities want to find more placement agents to partner with. When Partners create their company brochures part of the data they input includes which cities they serve. With this data PlaceLink empowers facilities to easily search and find which partners serve the city in which their facility is located. Facilities can then invite those partners to sign referral agreements and start doing business together. PlaceLink is designed to make this search process as easy as possible in order to facilitate more referral partnerships between facilities and placement agencies and thereby generate more placement business in general.
Placement
A closed referral from a placement agency, meaning a resident who was referred to one or more senior living facilities by a placement agency, and has moved in to a senior living facility that was recommended by the placement agency.
Placement Agency
In PlaceLink placement agencies are referred to as "Partners." A placement agency is a company that originates prospective residents (leads/clients) for senior living facilities, assesses leads, educates leads and their families, refers leads to matching senior living facilities, and collects referral fees when their clients move into a recommended facility.
Placement Agent
In PlaceLink placement agents are referred to as "Partners." A placement agent is a person working for a placement agency who performs the tasks required to complete senior placements.
Plan
A PlaceLink Plan is the type of PlaceLink account one is using. There are free "Network" plans and paid "Premium" and "Pro" subscriptions. The free Network plans enable users to market their company more effectively by creating an electronic brochure on the network, publishing their company brochure, and easily finding and connecting with more placement partners. Network plan users can quickly find other facilities and partners so they can connect and do business together. Premium and Pro subscription plans include all the features in Network plans, plus much more information in brochures such as services provided, care details, facility amenities, estimated pricing, room availability, active promotions, and much more. Facilities have control over how much of their data they want to share with partners. PlaceLink Plans are:

Promotion
A marketing promotion offered by a senior living facility in order to increase occupancy by attracting more leads and admitting more residents. Some of the common forms of these promotions are discounts on community fees, discounts on monthly charges, and increases to placement agent referral fee percentages.
Referral
A lead from a placement agency, which is usually an elderly person (frequently assisted by one or more family members or friends) looking for a senior living solution.
Residential Care Home
A residential home that has been modified per state regulations to provide non-medical senior care including independent living, assisted living, memory care, or any combination of those services. In PlaceLink these types of facilities are called "Care Homes." They are also frequently called "Board & Care" homes.
Room Availability
Room availability is tracked in PlaceLink so that facilities and partners can be more productive by quickly and automatically matching their clients' desired room types to facilities that have the right type(s) of room(s) available. Facilities benefit by only receiving qualified leads that are looking for room types that they do have available. Partners benefit by being able to; instantly determine which facilities have needed room type(s) available, submit client referrals faster than other placement agents that have to manually inquire about room availability, avoid wasting time inquiring at facilities that don't have their desired room type(s) available. This feature is a huge time saver, productivity booster, and revenue enhancer.
Premium and Pro facilities share room availability data by activating Pro partners. Typically this is done when there is an active referral agreement. Network and inactivated Pro partners cannot access room availability information.
Facilities home pages show which room type(s) they have available and which room type(s) are full. Facilities keep this information current by simply toggling their room types between Available or Full. This enables PlaceLink to know which types of rooms are available without revealing how many rooms are available so that facilities can maintain confidentiality of their occupancy rates.

If the client is in a hurry to move into a facility, partners can select Yes for Immediate Room Availability Required. Room types are used two ways in PlaceLink. The first is to enable facilities to show in their brochures which type of rooms they have. The second is to enable partners to show in their client profiles which type(s) of room(s) their clients desire. With this data, PlaceLink can instantly match clients' desired room type(s) to facilities' available rooms. Facilities identify which room types they have when theysetup or update their facility brochures. Partners identify which room type(s) their clients desire when they complete or update their client profiles. The common room types in PlaceLink are:

Senior Living Community, or Community
A large senior living facility that provides non-medical senior services including independent living, assisted living, memory care, or any combination of those services. In PlaceLink these types of facilities are called "Communities."
Service Type
Used in client assessment form. The type of service that a particular client needs. Options are IL, AL, and MC.
SL
Senior Living. This is frequently used in the system as SL Facility or SL Community.
Status - Client
CLIENT STATUS: The status of the relationship between a partner and a client.
Client status options are; Active, Inactive, or Won. A client can have referrals to multiple facilities. A client status can be Active or Inactive with or without referrals to facilities.

- When a partner changes a Client status from Active to Inactive, the Referral status at any referred facilities automatically changes to Lost.
- When a partner changes a Client status to Won, the referral status for the winning facility automatically changes to Won, and the referral status at any other referred facilities automatically changes to Lost.
Status - Partner
PARTNER STATUS: The status of the partner relationship between a partner and a facility.
Partner status options are Active or Inactive. Pro partners can be activated by Premium or Pro facilities. Network partners cannot be activated, and Network facilities cannot activate partners.

- When a facility activates a partner, the partner and facility gain access to additional data, tools, capabilities, and analytics.
- When a Premium care home activates a Pro partner, that facility will be included in the partner's automated matching results for clients. Also, the partner gains visibility to the care home's real-time room availability information.
- When a Pro community or care home activates a Pro partner, the partner gets all the Premium plan capabilities described above, plus real-time visibility into facilities' active promotions. Also, facilities can then select whether to share estimated referral values with active partners.
Status - Promotion
PROMOTION STATUS: The status of a facility promotion.
Promotion status options are Active or Inactive.

- Pro communities and Pro care homes can create promotions.
- Network communities, Network care homes, Premium care homes, Network partners, and Pro partners cannot create promotions.
- When a Pro partner is activated by a Pro facility the partner gains access to that facility's promotions.
- Pro partners who have not been activated by facilities do not see promotions for those facilities.
- Network partners cannot be activated so they do not have access to facility promotions.
Status - Referral
REFERRAL STATUS: The status of the referral relationship between a client and a facility.
Referral status can only be changed by partners. Facilities can only Accept or Reject referrals. Referral status options are; New, In Progress, Won, or Lost. A Referral status can be New, In Progress, or Lost while a Client status is Active.

- When a partner refers a client to a facility, that referral's status is automatically set to New. Referrals with a status of New must first be Accepted or Rejected by the receiving facility. A facility's acceptance or rejection of a referral does not affect the Client status.
- When a partner changes a Client's status to Inactive, the Referral status at all referred facilities automatically changes to Lost.
- When a partner changes a Referral status to Inactive, the Referral status for that single facility automatically changes to Lost.
- When a partner changes a Client's status to Won, the referral status for the winning facility automatically changes to Won, and the referral status at all other referred facilities automatically changes to Lost.
Status - Room
ROOM STATUS: The status of a room at a facility.
Room status can only be changed by facilities. Partners cannot change Room status. Room status options are Available or Full.

- Premium (Care Home) and Pro facilities have room status management. Network facilities do not have room status management.
- Premium and Pro care homes can indicate whether rooms are available for Male or Female, Male Only, or Female Only. Community app plans, and care home app Network plans do not have this feature.
- Pro partners who have been activated by Premium (Care Home) or Pro facilities can view facilities' room status.
- Network partners and inactive Pro partners cannot view facilities' room status.
- Room status is included in search and match results for active Pro partners.
- Room status is not included in search and match results for Network partners or for inactive Pro partners.
